Tented Food Vendor Application
You must pay the application fee to submit this application. Please review the Rules and Regulations below before completing the application.
NOTE: In addition to the vendor space fee, a Santa Clara County TCC application fee is required for all county Temp Event vendors. Your tent will be inspected based on TCC permit requirements. Our coordinator will contact you to submit your application on your behalf and collect payment. You will receive the TCC payment receipt and permit requirements.
Rules and Regulations
Booth management
Booth space is 10×10 only. All vendors must supply their own canopy, tent, tables, chairs, etc. Music is allowed in tented area as long as it doesn’t disrupt other vendors and event entertainment. No electricity provided. Event coordinator must be informed if using generators/propane for 20’ rule and fire department approval. Electric generators are highly encouraged. No cooking allowed in tent. All 10×10 spaces are first come first serve. No products depicting nudity or pornography are allowed. If seen, you will be told to remove those items and/or leave the event with no refund of fees.
Vendor rules/regulations
All applications are first come first serve. All fees paid or submitted are not refundable for any reason. Space is only confirmed with payment and vendor confirmation letter received from Opening Doors Silicon Valley event coordinator.
Rain or shine
You have been made aware that this event is rain or shine. No refunds.
Setup time
Volunteers will be present to direct vendors to their assigned area for set-up beginning two hours prior to the event start time (12pm). Vendors who need more time for set-up can begin at 10am. For safety reasons, vendors who arrive after the start of the event will forfeit assigned booth location and no refunds offered. All vendors must be completely set up 1 hour prior to the event start and remain set up and in place until event ends (9pm).
Tear-down upon end of event
To prevent accident or injury, no vendor may leave early prior to 9pm. All vendors must vacate the premises no later than 10:30pm.
Vehicles
There will be a curbside drop-off area. Please unload promptly and move vehicle to local street parking. No non-food vendor vehicles will be allowed on event grounds
Signage and sales
Vendors will be allowed to display company banner and signage to identify their business. Vendors will be able to sell food through their selected payment systems and are responsible for reporting sales tax and for any compliance issues such as a business license or worker’s compensation insurance, if required.
Insurance and liability
Insurance policies required. You must have auto and liability insurance, and workers compensation if anyone other than business owner works on-site. Workers’ compensation, commercial liability insurance, and auto insurance required.
Opening Doors Silicon Valley will provide no insurance or coverage to vendors. Any insurance must be placed and paid by the exhibitor. By submitting this application I hereby relieve Opening Doors Silicon Valley and its personnel and contractors, City of San Jose, The County of Santa Clara, and volunteers for any responsibility of the safekeeping of vendor property or for any injuries that may occur to me or my personnel while at this event.
Refunds
There will be no refunds. If, for any reason, it becomes impossible to hold the event, vendors understand this agreement is terminated and will waive any and all claims for damages. Refunds will not be made due to cancellation by exhibitor. In the event of cancellation for reasons out of organizer’s control (i.e., extreme weather, government health orders, etc.), there will be no refunds.
Advertising
Vendors may distribute flyers, business cards, coupons, menus or other material to patrons within their truck area. Social media posting is encouraged.
Compliance
Opening Doors Silicon Valley reserves the right to charge additional fees for damage, clean-up and/or dismiss a vendor with no refund of advance payments from failures to comply with any of the policies and procedures outlined in this application/agreement,
Code of conduct
Participants are asked to always conduct themselves in a professional and
tasteful manner. Failure to do so may result in being asked to leave the event with no refund of fees.
